Stock Ledger Privacy Policy

1. General Provisions

This Privacy Policy describes how ФОП Жук Ю.О., Компанія 'Stock Ledger' (hereinafter — "we", "Company") collects, uses and protects the personal data of users of the Stock Ledger online service (hereinafter — the Service).

This Policy applies both to the web service and to the Stock Ledger mobile application (including the document camera scanning feature).

By using the Service, you agree to the terms of this Privacy Policy. If you do not agree with these terms, please stop using the Service.

2. What Data We Collect

When registering and using the Service, we may collect the following personal data:

  • Account data: first name, last name, email address, phone number.
  • Payment information: transaction data (we do not store card data — it is processed by the LiqPay payment system).
  • Business data: information about products, transactions, customers, and other data you enter into the Service for accounting purposes.
  • Document images: photos of source documents you capture with your device camera in the mobile app for automatic recognition and creation of draft entries in the Service. Camera access is used solely for this feature.
  • Technical data: IP address, browser type, device data, activity logs.

3. Purpose of Data Collection

We use your personal data exclusively for:

  • Providing and maintaining the Service's functionality.
  • Recognizing photographed documents (OCR) and automatically generating draft entries in the Service.
  • Processing payments and managing subscriptions.
  • Providing technical support and responding to inquiries.
  • Sending important Service notifications (plan changes, maintenance, etc.).
  • Improving the quality and functionality of the Service.
  • Complying with Ukrainian legal requirements.

4. Data Storage and Protection

Your data is stored on secure Amazon Web Services (AWS) servers. We take technical and organizational measures to protect your data from unauthorized access, loss or disclosure:

  • Data encryption in transit (HTTPS/TLS).
  • Data encryption at rest.
  • Authentication and access control.
  • Regular data backups.

Images of photographed documents are stored in secure private Amazon S3 storage and are accessible only to you and the text-recognition service.

We retain your data for the duration of your account and for 1 year after its deletion, unless legislation requires longer retention.

5. Data Sharing with Third Parties

We do not sell or transfer your personal data to third parties, except in the following cases:

  • LiqPay — payment system for processing transactions (only data necessary for payment).
  • Amazon Web Services — cloud infrastructure for data storage and processing.
  • Anthropic — artificial intelligence service for text recognition (OCR) on photographed documents. Only the document image is transmitted; it is used solely to extract text and is not used for model training.
  • Google — for Google OAuth authorization feature (if you choose this login method).
  • At the request of government authorities in cases provided by Ukrainian legislation.

6. Cookies and Analytics

The Service uses cookies (small text files) to ensure proper operation and save session settings. Cookies do not contain personal data and are not used to track your activity outside the Service.

7. Your Rights

In accordance with Ukrainian personal data protection legislation, you have the right to:

  • Obtain information about the data we store about you.
  • Correct inaccurate or outdated data.
  • Delete your data (right to be forgotten).
  • Object to the processing of your data.
  • Receive a copy of your data in a machine-readable format.

8. Changes to the Privacy Policy

We reserve the right to make changes to this Privacy Policy. In case of significant changes, we will notify you by email or through a Service notification at least 30 days before they take effect.
